Patient data stays yours
Patient information belongs to your clinic. We use it only to run the services you ask for.
Never sold
We never sell or rent your data or your patients' data.
You stay in control
Ask us to correct, return or delete your data at any time.
1. Who we are
RGI Media ("we", "us") builds and manages WhatsApp and AI-based patient communication systems for dental practices. If you have any question about this policy, write to contact@thergimedia.com.
2. Information we collect
From visitors and clinic owners: your name, email, phone or WhatsApp number, clinic name, and anything you share when you book a free audit or contact us, plus basic website usage data.
Patient information we process for clinics: a patient's name, WhatsApp number, the service they asked about, appointment details, and the messages exchanged through the clinic's WhatsApp system. We design workflows to collect only what is needed, and to avoid collecting sensitive medical details in automated chats.
3. How we use information
- To respond to enquiries, book appointments, send reminders, follow up on missed visits and send recall messages.
- To set up, run, monitor and improve your workflows and reports.
- To communicate with you about our service.
- To meet legal obligations.
4. Our role with patient data
Your clinic decides why and how patient data is used. We act as your service provider and follow your instructions. We never use patient data for our own marketing. Your clinic is responsible for having patients' consent to be contacted on WhatsApp, and we help you build consent and opt-out options into your workflows.
5. How we protect your data
- Access is limited to the people who need it to deliver your service.
- We use secure communication tools and defined workflows, reviewed with you during onboarding.
- We keep the information we collect to a minimum.
If an incident ever affects your data, we will tell you promptly, explain what happened and what we are doing about it. No system anywhere can be guaranteed completely risk-free, which is why we limit what we collect and treat security as a priority in everything we build.
6. Who we share it with
Only with the providers needed to deliver the service, such as WhatsApp (Meta), calendar and scheduling tools, and hosting and software providers. They have their own privacy terms. We may also share information when the law requires it. We do not sell personal data.
7. How long we keep it
We keep information while our service is active and as long as needed to deliver it. When our work ends, or when you ask, we will delete or return your clinic's data and patient data promptly, unless the law requires us to keep it.
8. Your rights
You can ask to access, correct or delete your personal data, withdraw your consent, or raise a complaint, by emailing contact@thergimedia.com. Patients should contact their dental clinic first, and we will support the clinic in responding.
9. Cookies and third-party tools
Our website may use cookies and tools such as Calendly (for booking) and Google Fonts. These providers have their own privacy policies.
10. Children
Our website and services are not directed at children.
11. Applicable law
We aim to handle personal data in line with applicable Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023.
12. Changes to this policy
If we update this policy, we will post the new version here with a new date.
